CFP Web presence planning

Currently, CFP's web presence is a bit of a mess: sprawling across multiple domains, no easy way to discover our blog/Facebook/Twitter/Ustream pages from the main page, no easy way to search the archives, etc. Now's as good a time to clean this up as any.

cfp.org: the main site. Today, this is just a list of links to the various year's conferences (like cfp2010.org). Going forward, we'd like to change things so that it's the hub of the presence, including the blog, annual conference pages, etc. There are a couple of options here:

Wikis

Rather confusingly, we have three different wikis. Each year has two:

the "conference wiki" (cfp2010.org), visible to the world and editable only by the planning team
the program committee wiki, used for privately planning the program, visible and editable only by the planning team

There's also the "community wiki", also known as the "Wetpaint wiki": visible and editable by anybody. I find Wetpaint much more usable than the software we use to power the other two wikis, so have been doing all the planning here. Last year, we also used this to develop reusable collateral for some of the workshops.

Static web pages

The web pages describing each year's conference are currently implemented using MediaWiki; cfp2009's site is a good example. Lenny Foner writes

I recommend we continue this. It seems to work, and we certainly want the central pages describing the conference to bear our "brand" via which domain they're found in. Once ACM updates the machine, it shouldn't be too much trouble to keep updating the actual MediaWiki code to stay current (and I'm going to see if there's some clever way of having all years share the code, which might make it easier---otherwise, every year, I have one more pair of wikis to keep updating to keep their security current).

Blogging

For the blog, the "online visibility team" made a lot of progress last year on getting people involved with guest-posting and moderation; we want to build on that. From a technology perspective, we're currently using Wordpress on the CFP site.

In the past, each year had its own blog, which is problematic for a lot of reasons; this year, we've shifted to http://cfp.org/wordpress/. Wordpress has had its share of security problems, but Lenny suggest that "if we have -one- blog for all years, and it's kept patched, -and- it doesn't run any (or very very few) third-party plugins, it's somewhat feasible."

Comment spam is a potential issue on the blog. In 2009, when we accidentally disabled the akismet spam-filtering plugin, the number of "approve this comment" posts became overwhelming. Lenny's comment:

So comment spam and the constant security upgrades make me want to run Wordpress somewhere else---some site that runs a zillion of them and has automated procedures for dealing with both issues.

For the moment, we can run it here and see what happens, but I'm not sure it's scalable unless we can find a committed chair, ex-chair, volunteer, or some other person who's willing to make a possibly multi-year commitment to keeping it up-to-date and to dealing with comments, etc.

Audio-video and slides

We have a huge amount of archival audio and video. For the last couple, it's been Lenny who's done all the work going from the raw, unedited audio and video to get something useful up on the site. Lenny comments:

I've spent a lot of time accumulating it, but by the time the conference is over, I'm out of cycles to deal with it. I'd really like someone we can trust to step forward, receive several gigabytes of it, edit it, and do the necessary site edits to put it up.... if someone else steps forward to do this, I will provide support for getting the bits to them and teaching them to make the edits to the wiki to get it visible. I think we should hire an admin or some similar sort of person to just get it done.

We also stream AV live during the conference (and make it available afterwards as well for people who want to watch but don't want to take the time to download it first). We had good results with ustream.tv last year and it probably makes sense to continue this.

In the past, program committee members have collected slides (in PDF or PowerPoint) from speakers with the intent of adding them to the conference web site. However, in practice most haven't gotten added; past archives are spotty at best. Cleaning up the past is another big administrative job. Going forward, it'd be great to have something more automated.

Mailing lists

There are several lists:

the "house list", which we use for announcements. Lenny and Bruce Koball have done a lot of work cleaning it up and removing bouncing accounts; however, it's existed for so long that it's a huge spam magnet -- and there are bugs that have made it hard for people to unsubscribe. Is it time to move this forward?
The "planning team" and "program committee" lists.

Several people have suggested having an open email discussion list as well, to complement that blog and other forms of presence.

Social media sites

Here, the biggest challenge is finding people to help. It'd be great if everybody gets in the habit of tweeting and posting CFP-related information -- and we could also use a few more administrators. MySpace is a big black hole right now, and we should do something about it.

Twitter: we currently have the cfpconf twitter account and also use the #cfpconf hashtag. Twazzup, who set up the custom search page we used at the conference last year is willing to help again; this makes it much easier to follow what's happening.

Facebook: we have a 300-person Facebook group, which is kind of quiet. Facebook pages have a lot of advantages over groups, and we might want to move in that direction for our longer-term presence

MySpace: we do not have a MySpace presence as far as I know. To understand why this matters, please see danah boyd's Viewing American class divisions through Facebook and MySpace.

Other sites might also be worth considering, especially Ning (whose co-founder Marc Andreessen fits naturally into the CFP community) and LinkedIn (a great place to reach industry folks).

Smart phones, social networking and the “internet of things” let us integrate the online world and computers more deeply into our lives. Should we have to give up our freedom and privacy in to reap the benefits of a constant connection to friends and information? How are attitudes towards freedom and privacy changing for those who have grown up so accustomed to an always-connected environment? What about those who aren’t participating because they lack access to technology and knowledge — or who simply prefer more traditional forms of connection? How do we take advantage of the power of computers to improve freedom and privacy online and off?

To address those critical questions and more, the ACM Computers, Freedom and Privacy conference converges for the first time ever in Silicon Valley, June 15-18 2010.

The 20th annual ACM Computers, Freedom, and Privacy conference is pleased to announce our call for participation, soliciting proposals for sessions and topics at the conference as well as volunteers to help us organize and publicize it.

CFP is the leading policy conference exploring the impact of the Internet, computers and communications technologies on society. We focus on topics such as freedom of speech, privacy, digital rights and responsibilities, free culture and intellectual property, cybersecurity, electronic democracy, anonymity, and the future of technologies and their implications.

And every year, somewhat miraculously, a team of volunteers gets together to create an amazing program, organize the conference, and publicize it online and off. This year, we hope that you'll join us. If you'd like to help out, please leave a comment below, or contact us via Twitter at @cfpconf.

Call for Proposals

This year's conference theme is Computers, Freedom, and Privacy in the Networked Society. We especially encourage proposals that focus on the ways different kinds of networks -- social, communication, information physical -- interact with freedom and privacy. We're also looking for proposals that take advantage of this year's location in Silicon Valley, include a diverse set of panelists and new voices, feature multiple perspectives on challenging issues, and look to the future by exploring cutting-edge technology, legal, and policy issues. The first comment has a list of some potential topics ... other suggestions very welcome!

Please use the CFP 2010 submission system to propose any of the following:

suggestions for speakers or topics
proposals for 90-minute sessions with three to five speakers
half-day or full-day workshops or tutorials
"birds of a feather" sessions and other informal events to allow exploration of additional topics

From these proposals (and discussions on the blog) the program committee assembles the final program. Don't be surprised if your proposal undergoes some modifications; we frequently combines multiple proposals, or take a session topic and add some different speakers.

Our early-bird deadline is December 1; selected early proposals will be notified of acceptance by January 15.

The final deadline is January 31. Notifications will be sent by March 1.

The submission process can look very intimidating, so we've got some suggestions and example proposals up on our wiki. Don't worry too much if you get some of the details wrong; if necessary, we'll follow up via email.

So far, we've laid the groundwork. Most importantly, we've established diversity a an explicit conference goal. By starting with the highly-diverse CFP09 "Online Visibility Working Group", we've got a reasonably diverse planning team in place from the beginning. Now what? Here's some initial thoughts

Pick an inclusive theme
Write a "diversity statement" and include it in the call for participation (recommended here)
Publicize call for participation broadly, not just through the usual channels (comp.risks, law blogs, etc.)
Allow a relatively-long time for people to work on proposals -- and provide help, because it's likely to seem like an intimidating process for those who haven't done it before
Getting acceptance notifications out 4-6 months before the conference to allow for scheduling.

	We're going to be sending out a "save the date" announcement sometime next week once we have the venue finalized. The idea here is to start to let people know about the conference and build anticipation; while we don't know the details yet, we want to start sending the message that it's going to be interesting and different. Smart phones, social networking and the "internet of things" let us integrate the online world and computers more deeply into our lives. Should we have to give up our freedom and privacy in to reap the benefits of a constant connection to friends and information? How are attitudes towards freedom and privacy changing for those who have grown up so accustomed to an always-connected environment? What about those who aren't participating because they lack access to technology and knowledge -- or who simply prefer more traditional forms of connection? How do we take advantage of the power of computers to improve freedom and privacy online and off?

To address those critical questions and more, the 20th annual ACM Computers, Freedom and Privacy conference converges in Silicon Valley for the first time. Save the date!

Summary

We'll get confirmation (or not) from San Jose State by "mid-to-late" next week. In parallel, ACM will get a formal proposal from the Santa Clara Convention Center so that we've got a fallback. We'll draft the "save the date" announcement and spend the week polishing it, and in parallel set up a ning and experiment with using it for communication. We talked about different ideas for program committee structure; the chairs will discuss more (including checking with Ari Schwartz about how he did it in 2002) and come back with a proposal. We covered two major topics: the venue and the plan for the "save the date" announcement.

Venue: the consensus on the phone was that San Jose State is our preferred location. We'd rather be on a college campus, and it's likely to be substantially cheaper.

Unfortunately we then ran into a minor scheduling glitch. The ballroom at the student union is only available on the 15th, 16th, and 18th. One interesting option here is to do the 17th as a keynote-less day: use the 200-person engineering auditorium and breakout rooms. Another possibility, if we got a major keynote speaker, is to have a keynote on the 17th in Daley Auditorium, which seats 600+. We decided that yes, these are both options; and the Santa Clara Convention Center remains a good backup choice.

Thoughts?

"Save the date" announcement: we're going to treat this as a dry run for our marketing efforts, and try to get the word out as broadly as possible. Charlotte Anne brought up that we should come up with an un-mooky description of why people should care -- and we realized that in turn means thinking of who our audience is. Hmm, good points. So we agreed that with Charlotte Anne's help, I'll draft a post asking for opinions on this, and as well as sending it out to this list we'll run it by some PR and marketing people. At next week's meeting, we'll finalize it and sync up on the outreach plan. So we should be ready to send the "save the date" announcement out on the 14th or 15th.

PS: apologies to anybody who couldn't get on to the call, to Wendy for all the UK lines not wt working, and to Paul or anybody else who dialed in and then couldn't get a word in edgewise. sigh. we should probably approach DimDim or GoToMeeting or Cisco or somebody and ask them for an in-kind donation for our teleconferencing needs. in the interim, we'll make do.

Physically, we need a "large room" with up to 350-400 people for keynotes and plenary sessions; multiple 40-80 person rooms for workshops and breakout sessions.

Ideally, the location is close to public transportation and has ample parking. (Please keep in mind that many people can't afford to stay at the conference hotel(s), and will need to commute by public transportation from the nearest hostel -- which should be listed in CFP materials, see http://www.hihostels.com -- or from homes of friends -- could CFP offer a "beds needed/offered" listing service?)

In the South Bay:

Network Meeting Center at Techmart. Largest of the meeting rooms (Silicon Valley) holds only 310 people, lots of casual space around the meeting rooms. Great parking; would need to arrange transportation from hotel. Pricing seems roughly comparable to CFP08. Status: we've verified availability and gotten an initial quote.
Santa Clara Convention Center, a much larger facility, with more than enough room for meetings and breakouts. Great parking; would need to arrange transportation from hotel. Pricing roughly comparable to CFP08. Status: we've verified availability and gotten an initial quote.
Santa Clara University: Mayer Theater for the main event, classrooms and rehearsal halls for breakouts. Currently holding June 28-July 1; no dates available earlier, and later dates aren't bookable until January (!) Next step: need to make a decision week of August 24.
San Jose State: The most suitable space seems to be the Theater, which is in a larger classroom building that might provide break-out rooms, if they are not in use by faculty and students. There are also other auditoriums and a nice concert hall. They won't know availability until January. Space is usually tied up until late May; this year, summer school started June 12. Next step: Dorothy to talk with Jim Wayman on Monday.

Elsewhere

USF: Mclaren Center easily accommodates 500 people in a flat, non-theater setting. No nearby hotel. Will CFP attendees be offended by crosses and other expressions of faith. Dates are likely to be tricky. Next step: Dorothy could work with Susan Freiwald to get more info, not sure it makes sense.

what about a logo? we want to take the time to do one right, so it won't be ready yet.

For people who are going to be helping with the CFP planning, this would be a great time to do a short blog post giving a bit of your perspective. Why are you involved? What are you hoping for from CFP this year? With our diverse planning team in place, this will help broaden our outreach; it will also put us on a path towards more visibility. If you're willing to help, please put your name down in the thread here.
Now's also a good time to start reaching out to journalists and other media folks who are interested. There are several reasons for this: to let them know that there's a potential story here ("CFP in Silicon Valley for the first time ever!"), to solicit their input for themes and speakers, to prime the pump for future coverage ... and to get a map of where we do/don't have good media contacts, so we can be steadily improving over the next year.
